Website Ad Hoc Committee


 

The Faculty Senate Ad Hoc Website Committee is tasked to improve access to information and documentation of the Leeward CC Faculty Senate through a website.  This improved access would provide senators with a clear and reliable way to access documents both current and archived during senate meetings.  As well as serve the Leeward campus and community by disseminating information about topics being discussed by the Senate.

Fall 2015 - Spring 2016 Membership: Michael Lane (Chair), Rachael Inake (Web specialist), and Irwin Yamamoto, with advisory members William Albritton (Curriculum Committee chair), Michael Cawdery (Faculty Senate secretary), and Momi Kamahele (Faculty Senate chair).

Fall 2015 - Spring 2016 Committee Activities

January 24, 2015 - Added content (News and Announcements section), added photographs and modified logo, and improved site aesthetics.

January 17, 2015 - Updated current agenda, added content, and improved site aesthetics.

December 1, 2015 - Updated current agenda.

November 2, 2015 - Updated current agenda.

October 29, 2015 - Updated current agenda and renamed agenda files with current naming convention.

October 10, 2015 - Updated current agenda.

September 24-26, 2015 - Updated and completed 2014-15 AY Motions and Minutes pages.

September 23, 2015 - The committee submitted a report on its activities, progress, and plans to the Faculty Senate and solicited input from the Senate.

September 17-22, 2015 - The committee made numerous improvements and updates to the website. Below are the major changes:

  • Added a Motions page to faciliate access to motions voted on by the Faculty Senate, and added content.
  • Added links, underlining, and organizational improvements for better readability and navigation.
  • Created How-To links and content to help site users.
  • Enhanced an example of standing committee and ad hoc committee sites, which are listed under the Committee page, to help individual committees improve communication and resouce accessibility.
  • Added definitions where apporiate to inform users.
  • Added content or improved access to content across the website.

September 17, 2015 - The committee met for the first formal meeting after the members spent two weeks reviewing the website and corresponding via email. The meeting agenda emphasized these goals: add content and improve the website's aesthetics, readability, and navigation. Throughout the meeting, the committee focused on how to make site improvements to better communicate with and enhance access to information and resources for the college's faculty and staff, and the Leeward community.

The committee members in attendance, Chair Michael Lane, Rachael Inake, Irwin Yamamoto, and Michael Cawdery, determined long-term goals set immediate objectives, and volunteered to complete specific tasks.

September 2, 2015 - Senator Lane was formally nominated and approved as chair at the first fall 2015 Faculty Senate meeting, and Chair Lane recruited several faculty members to serve on the committee as full-time or advisory members:

  • Curriculum Committee Chair William Albritton (Advisory member)
  • FS Secretary Michael Cawdrey (Adivisory member)
  • FS Chair Momi Kamahele (Advisory member)

August 26, 2015 - Senator Lane met with Chair Kamahele and previous Website Committee Chair Brent Hirata to discussion the website's current status and ideas for site enhancements.

August 11, 2015 - Senator Michael Lane accepted Faculty Senate Chair Momi Kamahele's nomination to serve as the Ad Hoc Website Committee chair.

Discussion

Brief discussion on coming up with a banner image/ visual theme for the faculty senate website.  It was mentioned that new senator Lexer had a very creative graphic artist name Joel.

We looked through the website guidebook that Brent has started.  There are still several areas that need to be documented and added to the file.

At the next meeting Brent will then combine all Minutes folders together into one Minutes folder. repeat for Agendas and Supporting Documents.  Then distribute to committee members to remove duplicates/ rename each file according to naming convention.


Action Items

Brent will split up folders and disseminate to committee members via UH File Drop.  Please open your files and then move them/ organize them into one of three folders “Minutes”, “Agendas”, “Supporting Documents”.

Discussion

  • Down the road we might want to have a link to the Faculty Senate website on the main Leeward CC landing page.
  • Visual aspects of the website.  Making it more appealing.
  • Suggested naming convention for documents.   Use full numerical date + hyphen + file name in lower case.  example:  20141023-minutes
  • Starting with the most recent documents and work backward.

Action Items:

  • Invite more people to assist us in looking at the files.  Include a description of the roles that these people will be doing (reviewing documents).
  • Start primer document detailing website procedures.

    a. Consolidate, remove duplicate files which include sorting through several years of Minutes, Agendas and Supporting documents. Open each and categorize according to year using a standard naming convention.
    b. Develop recommended procedures for uploading content to the website. Including naming conventions, roles & responsibilities.

Senator Hirata reported that working with Leeward CC campus web master, they have identified http://emedia.leeward.hawaii.edu/facultysenate as the designated website.

They have reviewed our current tools and implemented an organized navigation structure on the new website.
